By using Govaio Network services, you agree to our terms, policies, and acceptable use rules. Services may be modified or terminated for violations.

This Email Hosting Policy (“Policy”) governs the use of all email hosting services provided by Govaio Network (“Govaio”, “we”, “us”, “our”) through https://www.govaio.com.

By using Govaio’s email hosting services, you agree to comply with this Policy in addition to our Terms & Conditions, Acceptable Use Policy, Privacy Policy, Data Protection Policy, and Service Level Agreement (SLA).

1. PURPOSE & OBJECTIVES

This Policy is designed to:

  • Maintain high email deliverability

  • Protect shared and dedicated IP reputation

  • Prevent spam, malware, and abuse

  • Ensure compliance with global email standards

  • Protect customers from blacklisting and mail rejection

2. SERVICE SCOPE

This Policy applies to:

  • Business & Enterprise Email Hosting

  • Shared mail servers

  • Dedicated mail servers

  • Mail-only infrastructure

  • Outbound and inbound email traffic

  • Webmail, SMTP, IMAP, and POP services

3. EMAIL SENDING LIMITS & RATE CONTROL

3.1 Daily & Hourly Sending Limits

Sending limits are applied to prevent abuse and protect IP reputation.

3.2 Rate Limiting & Throttling

  • Sudden spikes in email volume may trigger throttling

  • Gradual warm-up is required for new domains or IPs

  • Burst sending is restricted on shared infrastructure

4. ATTACHMENT SIZE & TYPE RESTRICTIONS

4.1 Attachment Size Limits

  • Maximum attachment size per email: 25 MB

  • Total message size (email + attachments): 30 MB

  • Limits may vary depending on recipient mail servers

4.2 Prohibited Attachments

The following attachment types are blocked:

  • Executable files (.exe, .bat, .cmd, .scr)

  • Compressed files containing executables

  • Scripts (.js, .vbs, .ps1)

  • Malware-infected files

4.3 Attachment Scanning

All attachments are:

  • Virus scanned

  • Content filtered

  • Automatically rejected if unsafe

5.3 Reputation Monitoring

Govaio actively monitors:

  • Bounce rates

  • Spam complaints

  • Blacklist status

  • Sender behavior patterns

Poor metrics may result in suspension.

6. EMAIL AUTHENTICATION REQUIREMENTS

To ensure deliverability, the following authentication standards are mandatory:

6.1 SPF (Sender Policy Framework)

  • Must authorize Govaio mail servers

  • Misconfigured SPF may cause rejection

6.2 DKIM (DomainKeys Identified Mail)

  • Mandatory for outbound mail

  • Ensures message integrity

6.3 DMARC

  • Recommended policy: quarantine or reject

  • Domains without DMARC may face throttling

Govaio may enforce authentication compliance.

7. DELIVERABILITY STANDARDS

7.1 Best Practices

Customers must:

  • Send to opt-in recipients only

  • Maintain clean mailing lists

  • Remove hard bounces immediately

  • Avoid spam-like content

7.2 No Delivery Guarantee

  • Email delivery depends on recipient servers

  • Govaio does not guarantee inbox placement

8. BULK & MARKETING EMAILS

8.1 Bulk mailing is allowed only if explicitly permitted.

8.2 Requirements:

  • Double opt-in lists

  • Clear unsubscribe link

  • Sender identity transparency

8.3 Cold emailing is strictly prohibited.

9. SECURITY & ACCOUNT PROTECTION

Customers are responsible for:

  • Strong passwords

  • Two-factor authentication (if available)

  • Preventing compromised accounts

Compromised accounts may be suspended immediately.

11. BLACKLISTING & REMEDIATION

11.1 If blacklisted:

  • Affected accounts may be suspended

  • Investigation is required

  • Delisting efforts are not guaranteed

11.2 Repeated offenses result in permanent termination.

12. SUSPENSION & TERMINATION

Govaio may suspend or terminate services for:

  • Spam complaints

  • Authentication failure

  • Reputation damage

  • Policy violations

No refunds apply.

13. DATA RETENTION & BACKUPS

  • Customers must maintain backups

  • Govaio does not guarantee email retention

  • Deleted emails may not be recoverable

15. POLICY VIOLATIONS & PENALTIES

Violations may result in:

  • Throttling

  • Temporary suspension

16. POLICY UPDATES

Govaio may modify this Policy at any time.
Continued use implies acceptance.

17. GOVERNING LAW

This Policy is governed by the laws of India, with exclusive jurisdiction of Indian courts.
